Have you ever wondered what it would be like to manage your tasks from your calendar?

Perhaps you have already started: you are time blocking (or calendar-blocking or time- boxing) your schedule. In other words, you are placing tasks in your calendar and managing them as a complete set of commitments.

These are “flexible Tasks” – they don’t have a fixed time and you can choose any time slot you wish. They aren’t like an appointment with another person.

By scheduling your tasks you are trying to become more efficient than if you were to leave them on a to-do list, or attempt to manage them with your personal memory. You are actually a member of a movement. Millions are using this technique, assisted by digital tools, to increase their productivity and keep their peace of mind. It’s an easy skill to understand and explain.

But it’s not an easy skill to master.

Here you’ll learn that time-blocking is an easy concept in theory, as long as you are only trying to manage a small number of tasks. Unfortunately, as the number of tasks you are attempting to time block increases, it becomes quite challenging to achieve a sustainable, daily practice.

The reason?

Factors ranging from task psychology, to app design and habit patterns all combine into a perfect storm. Consequently, most people who try to time block a large number of tasks fail, swearing that the technique doesn’t work.

In this school, you’ll find that they’re mistaken, according to those who practice the technique plus the latest research. You’ll hear from them all, plus access the largest library of case studies and recommendations to help you time block more tasks with increasingly greater skill.

Plus, we’ll help you choose the best apps to use and update you when the newest ones emerge.

Together, we’ll help you fulfill your original dream: to be more effective and have more peace of mind by managing all your appointments and tasks in a single, unified place.

Welcome! If you skipped over my Home and Start Here pages, I suggest you read them first.

What is ScheduleU? Where did it originate?

It’s a virtual school which is part of 2Time Labs. Both brands are owned by Framework Consulting Inc, which is a Florida company I (Francis Wade) own.

I first had the idea for Schedule U in early 2015, just after I finished the first edition of my second book, Perfect Time-Based Productivity. I knew that there was little or no help to people who wanted to reach higher scheduling skills. There was some information, but it was fragmented and scattered.

I knew what it was like to not have a clear guide. When I learned to time block my tasks in the 1990’s I did so non-stop until I stumbled in 2005. The occasion? A move to live in Jamaica from Florida. All of a sudden, I was flailing.

Desperate to fix things, I took the advice of a popular guru who argued that time blocking was wrong. So, I quit and went back to using a To-Do List…which immediately made things worse. While I can explain what happened to me in that circumstance now that I have a deeper understanding, it was all very confusing and annoying to be going back and forth without a road map.

So, I started delving into academic research, separating authors whose findings were based on empirical, peer-reviewed evidence rather than personal experience and anecdotes (“anecdata.”)

The answer?

By now, if you have read the Home and Start Here pages you may know that I needed better time blocking skills to cope with a more hectic, unpredictable Caribbean life…not fewer.

Fast forward…When I published Perfect Time-Based Productivity I laid out my journey… just in time to be overtaken by a brand new approach. Dr. Melanie Wilson, author of A Year of Living Productively, reached out of the blue to tell me about a new app called SkedPal.

After a lot of testing, I made the switch to this auto-scheduler and everything changed.

It belongs to a small group of apps which arrange your calendar automatically, allowing users to take time blocking to an entirely new level. They use AI and the cloud to work alongside Google and Outlook Calendars, functioning in the background like invisible engines.

It’s the kind of problem we like to tackle at 2Time Labs. I’m an Industrial Engineer and Operations Researcher by training so the challenges the Lab attracts tend to have a combination of human behavior and technology solutions. The challenge of time blocking combines a fair amount of both sides of the coin.

Other recent challenges I have taken on (some in collaboration with others) include the following:

This special report took about two years to write, requiring me to delve into fields such as psychology, philosophy, and linguistics. This paper brings them together in a single place, perhaps for the first time to answer a question in a single deep dive.
These three articles tackle the problem of managing three selves rolled into one. The Notified Self is made up of the Interrupted Self, The Warned Self and the Informed Self. They all describe ways we use technology and information to alter and shape our daily behavior and increase our productivity. The main purpose of these articles is to coach people to manage their environment and their tools in ways which are empowering.
Task management apps are usually designed to be little more than databases – dry and uninviting. Starting with my experience using an auto-scheduler, I argue that much more can be done to gamify task management apps so they become engaging opportunities for users which are immersive and fun. This goes far deeper than merely making the GUI “fresh” or “clean.”
This article brings together two opposing and sometimes contentious points of view. Schedulers and Listers sometimes claim their approach is best and in this article I show where they both are correct, to some degree.
This second edition of my book is enhanced with the content developed on the use of auto-schedulers for time blocking.

We have also launched an online community for Mighty-Taskers, most of whom use time blocking.

Here are other general resources in which you may have an interest.

In addition to working with individuals, we also work with companies. Some are startups which are designing a new application. For example, we played a role in shaping SkedPal.

We also deliver live and online programs within companies, plus individual programs to individuals. More information on these can be found at MyTimeDesign.com.
